Privacy policy
Neural Closer is an artificial intelligence platform for real estate agencies and independent agents: when an agency receives a lead, the platform contacts them on its behalf, talks to them over WhatsApp, books meetings and records the history in that agency's panel. This policy explains what data we process to make that work, for what purpose, and with whom.
Who we are
The service is offered at neuralcloser.ai and app.neuralcloser.ai. For any privacy enquiry you can write to [email protected].
What data we process
- Account data of our customers (agencies and agents): name, email address, access credentials and billing details for the plan taken out.
- Data of the leads each agency processes: name, phone number, email address, messages exchanged with the agency, search preferences expressed in the conversation, and booked meetings. This data arrives through the channels the agency connects: real estate portal notifications forwarded by email, their CRM, advertising forms (for example, Meta Lead Ads) or WhatsApp messages sent to the agency's number.
- Technical data: platform activity logs needed to operate and diagnose the service, kept for a limited time.
Our role
With respect to lead data, the agency using Neural Closer is the data controller: the leads wrote to them, and Neural Closer acts on their behalf as a processor. With respect to our customers' account data, Neural Closer is the controller.
What we use the data for
- Contacting and qualifying leads on the agency's behalf, booking meetings, sending reminders and following up.
- Showing the agency each lead's history in its panel and sending it summaries of the conversations.
- Operating, securing and billing the service.
We do not sell personal data, we do not use it for third-party advertising, and we do not share it beyond the providers listed below.
Data received from Meta platforms
If an agency connects its Meta Lead Ads forms, we receive the fields the person filled in (name, phone, email and their answers) for the sole purpose of creating the lead in that agency's panel and contacting them on its behalf. WhatsApp messages are sent and received through Meta's WhatsApp Business API, using each agency's own number. We do not use data received from Meta for any other purpose. You can request its deletion as described in Data deletion.
Google services
If an agent connects their Google Calendar, we use that access for three things and nothing else: reading their availability to offer time slots; creating, moving or cancelling the events for meetings booked by the platform; and showing that same agent, inside their own panel, the events on their calendar alongside what the platform booked. That reading is for them alone: the events on their calendar are not shown to anyone else at their agency, are not used to train models, and are not shared with third parties. Neural Closer's use of information received from Google APIs adheres to the Google API Services User Data Policy, including the Limited Use requirements.
Website visitors
On neuralcloser.ai we use Google Analytics 4 to know how many people visit the site, which country and channel they came from, and which pages they look at. To do that Google sets cookies in your browser and receives your IP address — which it uses to infer your approximate location and does not store — your device type and the pages you opened. We do not use this data to identify you, we do not combine it with any lead's information, and we do not have Google Analytics advertising features enabled.
You can prevent this by blocking cookies in your browser or by installing the Google Analytics opt-out add-on. The site works just the same.
This applies to the public site only. The product panel (app.neuralcloser.ai) carries no Google Analytics and no other third-party measurement tool: what happens inside an account is not shared with anyone.
If you join the waitlist, we store your name and email and, if you enter them, your agency's name and a WhatsApp number. We use them only to let you know when we open registration, and you can ask us to delete them at any time by writing to [email protected].
Providers that process data for us
To operate the service we use providers that process data on our behalf: database and authentication infrastructure (Supabase), WhatsApp messaging (Meta Platforms and Kapso), calendars (Google, Calendly), email delivery (Resend), network and inbound email delivery (Cloudflare), public-site measurement (Google Analytics), and language model providers that process the content of conversations to generate the assistant's replies. Each one receives only the data needed for its function. The waitlist form also uses Cloudflare Turnstile to tell a person from an automated program: when you submit it, Cloudflare receives technical data about your browser and your IP address for that sole purpose.
Retention and deletion
We keep data for as long as the agency's account is active. Agencies can delete leads from their panel — deleting one also removes its conversations, notes and meetings — and anyone can request deletion of their data as described in Data deletion. Technical logs are kept for short periods and rotate on their own.
Security
Data travels encrypted, integration credentials are stored encrypted at rest, and each agency can only access its own information, with isolation enforced at the database level.
Your rights
You can request access to, correction of, or deletion of your data by writing to [email protected]. If you were contacted by a real estate agency that uses Neural Closer, you can also send your request directly to that agency, which is the controller of your data.
Changes to this policy
If this policy changes, we will publish the version in force on this page along with its update date.
